Office Administrator (Beaverton Office)

Job Summary

We are looking for an experienced and skilled office administrator to join our team! This role is integral to the success of achieving our daily business goals. A strong candidate for this position will have at least some experience as an office administrator or similar position performing typical supporting office roles i.e. working with accounting software, creating work orders/purchase orders/sales orders/invoices, document control & organization, reviewing & facilitating timecards, ordering product, etc.

 

Responsibilities and Duties

  • Schedule and manage monthly work for a team of technicians
  • Use a third-party work order scheduling and time-keeping platform
  • Manage access badging and security clearance requests with customers
  • Develop take-offs on floor plans
  • Maintain a physical key/access badge inventory/system
  • Perform bank deposits and occasional drop-offs at FedEx/UPS/USPS
  • Field incoming phone calls
  • File prevailing wage intents and affidavits
  • Invoicing
  • Creating Sales Orders, Purchase Orders, Work Orders
  • Payroll data entry
  • Maintain detailed records for job costing on projects
  • Tracking PO shipments
  • Office and warehouse supply ordering
  • Closing out work orders
  • COI (certificate of insurance) requests
  • Assist with fleet vehicle title/registrations/renewals

 

Qualifications and Skills

  • Bachelor’s degree (preferred) or equivalent experience
  • 1-2 years in administrative experience
  • Knowledge of QuickBooks
  • Strong telephone, email, and in-person communication skills
  • Proven record of setting and achieving goals
  • Effective time management and organizational skills
  • Resourceful and creative
  • Hungry to learn best practices and continually improve
